Description of primary duties and responsibilities:
Primary Purpose of the Organational Unit
The Department of English offers Bachelor of Arts degree programs in English Language and Literature. In conjunction with the School of Education, the department also offers teaching degrees (Bachelor of Science) in English Language and Literature.

These programs prepare students to serve effectively as facilitators of learning. A minor is offered in English. The liberal arts education provided by the department prepares students for a variety of career options: education, publishing, finance, politics, law, the performing arts, or any field in which effective communications skills are required.

Duties and Responsibilities
30%-Communication-Verbal: Ability to convey information and ideas through a variety of media to individuals or groups; ability to adjust language or terminology to meet needs of the recipient(s). Responds to inquiries related to the Department of English and its policies and procedures. Serves as the main point of contact when visitors enter the Department and serves as the Departmental Secretary. Answers the Department's main telephone line and responds to requests for information. Requires extensive contact with a broad range of clients, i.e., students, prospective students, faculty, staff, the public, and those interested in learning more about the department and Fayetteville State University. Position schedules appointments and responds to any questions regarding the Department's programs, policies and procedures.

10%-Communication-Written: Ability to present ideas in written form; ability to adjust language or terminology to meet needs of the recipient(s); ability to use correct grammar, organization, and structure. Ability to independently compose business e-mail, communications, letters, memos to students regarding departmental processes, enrollment into the program and deadlines. Prepares work orders after receiving requests via emails, phone or in person. Responds to e-mails and prepares written material to students and prospective students. Schedules appointments and responds to any questions verbally as well as in writing regarding the Department's programs, policies and procedures.

Description of Work Continued:
10%-Office Technology: Ability to utilize office equipment and other relevant technology (software, and systems) to meet work needs. Requires knowledge of various software applications, such as Microsoft Office Suite, Word, Excel, Outlook, etc. Requires the ability to utilize the Banner system to process invoices and purchase orders, to enter requisitions and process them in Banner. Maintains and updates the unit's master calendar and website.

10%-Work Coordination: Ability to facilitate the flow of work, facilitate or direct the office support activities and coordinate work with staff; ability to maintain internal and external contacts for work coordination. Facilitates the support activities of the Department of English and coordinates the flow of work throughout the Department by scheduling meetings and appointments, Processes incoming and outgoing mail, screens and routes clients to the appropriate staff and serves as the office coordinator.

10%-Problem Solving: Ability to understand issues, identify problems and opportunities to determine the appropriate course of action. Assesses problems and ask pertinent questions to determine customer needs and offer potential solutions by researching and reviewing applicable policies and procedures. Shows initiative in judging problems and carrying out resolutions based on delegated authority. Independently answers inquiries from clients.

10%-Knowledge-Program: Ability to demonstrate an understanding and awareness of program services, policies and procedures; ability to demonstrate and apply this knowledge in performance of office support tasks; ability to explain and interpret program information to clients/customers and staff. Serves as the primary administrative support for the Department of English and requires knowledge of the policies and procedures and the programs offered by the Department and the program and units it supports and how those units interface with the campus community at large.

10%-Information/Records Administration: Ability to apply knowledge of data collection and storage to compile, assimilate, and organize printed and electronic information. Ability to receive, record and compile records of all students, faculty, staff and clients of the Department of English in the departmental files and database and creates reports as necessary regarding the program activities of the departmental units.

10%-Budgeting: Plans and monitors the use of expenditures to meet organizational objectives and compliance; prepares budget documents and reports. Monitors and reconciles the budget for the department of English and maintains a record of all financial transactions for each account. Position requires the ability to input budget and financial records of the department, enter requisitions and budget revisions into the Banner. Maintains the supplies, furniture and equipment inventory and places orders as necessary.

Minimum Education and Experience Requirements:
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Knowledge skills and abilities:
  • Responds to questions/issues that deviate from standard operating procedures by determining and consulting appropriate resources such as policies, manuals or other staff.
  • Responds to requests for program and procedural information. Contacts service recipients, vendors, or clients to provide or obtain information. Schedules and coordinates appointments, meetings and events.
  • Composes written communication with guidance using standard formats. Composes correspondence involving program or operational procedures independently from general instructions or brief summaries.
  • Selects, understands and fully applies features of a variety of software programs, machines or office equipment that will produce the desired results.
  • Plans and facilitates the support activities of an office or work unit; coordinates with others to complete tasks. May serve as an office coordinator for a work unit.
  • Assesses and may resolve unprecedented problems that require research and review of policy and procedures. Applies judgment for problem resolutions based on delegated authority from supervisor.
  • Understands programs and services to apply this knowledge in problem-solving and responding to most questions and inquiries. Uses program knowledge to interface with other offices and organizations.
  • Records, compiles and summarizes data using established format. Compiles and organizes information from different sources to develop reports and data.
  • Monitors and reconciles departmental or program budget and tracks travel and office expenditures.

Preferred Qualifications:
Associate degree in secretarial science or equivalent experience.
